Policy-driven, not manual
Managing pool cars doesn't need to be difficult. Using Outlook or paper-based systems is tricky and opens up legal liability. Sensium's pool booking system applies your booking rules automatically — consistent decisions, fair access, compliance without manual enforcement.
What pool vehicle booking does
Simple setup. Set and forget. Freedom.
Sensium's pool booking system is built for councils, government, universities, and enterprise fleets - environments where your departments share a vehicle pool and need consistent, auditable allocation.
AI Auto-Select
The right vehicle, every time.
Sensium's AI Auto-Select assigns the most suitable vehicle for each booking automatically — removing manual decision-making and optimising fleet utilisation. When a driver requests a vehicle through Driver Connect, Sensium evaluates real-time fleet data and recommends or allocates the best match based on operational requirements, availability, and policy. The result: the right vehicle every time, even utilisation across the fleet, reduced unnecessary wear, and fair, policy-aligned access to shared resources.
Allocation factors
- Real-time vehicle availability
- Capacity, range, and asset class
- Utilisation balancing
- Engine type, odometer, lease restrictions
- Cost centre / fleet membership
- Vehicle type required (ute, tow bar, 5 seats etc.)
Operational outcome
Right-sizing your pool fleet based on actual utilisation can save tens of thousands in capex per year. The data lives inside Sensium Connect; the recommendation is a fleet-manager report away.
Fleet right-sizing
Stop running too many cars.
Sensium Pool Vehicle Booking doesn't just make booking easier — it tells you exactly how many vehicles you actually need based on real usage. Many fleets discover they're running 20-30% more cars than utilisation justifies. Right-sizing reclaims significant capex and reduces ongoing lease, insurance, and maintenance overhead.
Access however suits you
App, fob, ID card, or key cabinet.
Choose how staff access pool vehicles. App-only mode lets drivers book, start, and end trips from their phone via Driver Connect — no hardware install required. Add Sensium TRACKbox to enable keyless entry via RFID staff card or fob — the card reader unlocks the vehicle, starts the booking, and alerts the fleet manager. Add a Sensium Electronic Key Cabinet for hardware-secured key management — physical keys, smart fobs, and transit passes released only to authorised users with a valid booking, with a full audit trail.

Fleets, cost centres, and approvals
Built for the org chart.
Split your vehicles into different fleets and restrict them to specific cost centres. Ensure drivers only have access to fleets they're authorised for — if someone isn't qualified to drive a forklift, the system blocks them. Bookings that fit standard operating procedure get approved automatically. Bookings that require special permission (e.g. overnight) can require fleet manager approval.
Customer success
CTST, Tasmania.
Tasmania's trusted Community Transport provider for more than 30 years. Nearly 100 vehicles shared between multiple drivers. Switched to Sensium in 2024 after years on a competing platform.

The problem
CTST needed a simple and efficient pool car management system, so staff and volunteers could book vehicles appropriate for the task at hand.

Question 01
How much does pool vehicle booking cost?
Question 01
How much does pool vehicle booking cost?
Sensium Pool Vehicle Booking pricing starts at A$10 per vehicle, per month. Real value comes from the admin time saved and the right-sized fleet — many customers reclaim tens of thousands of dollars in capex by reducing pool car count to match actual usage.
Question 02
Where is the booking software designed?
Question 02
Where is the booking software designed?
Designed in Brisbane, Australia. The TRACKbox hardware that pairs with it (for advanced features like remote lock/unlock and battery monitoring) is also manufactured in Brisbane. All data resident in Australia, on Sydney servers.
Question 03
Does the system work without TRACKbox hardware?
Question 03
Does the system work without TRACKbox hardware?
Yes. Sensium Pool Vehicle Booking has an app-only mode that works without any hardware install — staff make, start, and end bookings from the app via Driver Connect. Installing TRACKbox enables additional features on the vehicle side: remote locking/unlocking, battery monitoring, vehicle status, RFID/keyless entry. Sensium Electronic Key Cabinets also slot in independently of TRACKbox for booking-governed physical key release on any vehicle.
Question 04
Does the system work for leased vehicles?
Question 04
Does the system work for leased vehicles?
Yes — owned or leased. If you choose the app-only version there is no hardware to install. If you opt for the full feature set (TRACKbox + optional keyless module), all hardware can be removed cleanly when you swap or sell the vehicle.
Question 05
Does it work for vehicles other than cars?
Question 05
Does it work for vehicles other than cars?
Any shared vehicle: lawn mowers, yellow plant, buses, jet skis, trucks, agricultural equipment. If it gets shared between staff, the booking system can manage it.
Question 06
Does Sensium comply with data residency laws?
Question 06
Does Sensium comply with data residency laws?
Yes. No part of the software transmits data outside of Australia. Data is stored only on servers in Sydney. We strongly recommend interrogating the data-residency claims of competing suppliers — some use product add-ons that cannot fully satisfy residency requirements.
Question 07
What support is available?
Question 07
What support is available?
Free email and phone support during extended trading hours.
Question 08
How does the AI decide which vehicle to allocate?
Question 08
How does the AI decide which vehicle to allocate?
When a driver requests a vehicle through Driver Connect, AI Auto-Select evaluates real-time fleet data and allocates the best match based on availability, capacity and asset class, utilisation balancing, engine type, odometer, lease restrictions, cost centre, and the vehicle type required. The fleet manager sets the rules; the system applies them consistently on every booking.
Question 09
Can bookings require manager approval?
Question 09
Can bookings require manager approval?
Yes. Bookings that fit standard operating procedure can be approved automatically, while bookings that need special permission — such as overnight use — can require fleet manager approval. You can also restrict drivers to the fleets they are authorised for, so someone not qualified to drive a particular vehicle class is blocked from booking it.
Question 10
Can booking costs be allocated to cost centres?
Question 10
Can booking costs be allocated to cost centres?
Yes. Vehicles can be split into different fleets and restricted to specific cost centres, and the booking system is cost-centre aware so usage can be allocated accordingly. This suits councils, government, and enterprise environments where multiple departments share a vehicle pool and need auditable, fair allocation.
